Updates to PeopleAdmin

Dear NIU PeopleAdmin users, 

Since January of this year, we in the Division of HRS have been working with the vendor of our PeopleAdmin system to make updates and enhancements to the various forms and workflows for Faculty and Staff position types. We want to inform you that sometime during the morning of Thursday, June 16, that these changes will go live in the system.  

Please be advised that there will potentially be some challenges and issues with these new changes once they are activated. In fact, some changes that have been made may not be final, and we will need to work with the vendor in subsequent weeks to revise after further testing. The vendor has informed us that every relaunch of a system has a period where there may be errors or significant revisions, and because the scale of this project has been so immense, we should definitely expect the same. 

Below are some of the changes that you can expect to see: 

  • New Position Description forms for Faculty and Staff positions that contain more relevant details about the position and various reconfigured tabs 
  • New “Modify” functions for existing position descriptions instead of a single modify function. This allows users to select one of the following options to initiate position requests: 
    • Refill 
    • Reappointment 
    • Job Description Update 
    • Job FTE Change Only 
    • Job Funding Change Only 
    • Vacate 
  • New workflows for Position Requests, that include some of the following: 
    • For Refills and Job Description Updates, “Human Resources” or “HR Review” has been split into to “Classification and Compensation HRS” and “Talent Acquisition HRS” on the Position Management side. This was done to show that Class and Comp reviews these requests first before transitioning them to Talent Acquisition.  
    • For Job FTE Change Only, Job Funding Change Only, Reappointment, and Vacate, “Human Resources Review and “HR Review” have been split into “Civil Service Life Cycle” and “Faculty/SPS Life Cycle” to allow for users to see the specific function that is responsible for handling these requests in HRS. 
    • Business Managers can send requests to Grants or RIPS for review and entry and Grants and RIPS can send back prior to the request coming to HR 
    • New “Liaison” workflow that will allow specific individuals from departments who have enhanced HR roles and responsibilities to review all requests after the Division Head/VP approves it and before it goes to Class and Comp. 
  • Refill Position Request forms are now structured like Posting forms, which will allow users to enter all the necessary information that Talent Acquisition will be able to review to ensure completeness before it goes to the ATS side. 
  • Newly revised Posting forms in the ATS 
  • Newly revised Application forms for applicants 
  • Newly revised Hiring Proposal forms 
  • New posting workflow states for Civil Service (Staff) and SPS (Staff) positions 
  • New workflows for transitioning applications 

With that being said, we please ask that you remain patient with us as the PeopleAdmin site launches with these new changes. We anticipate and fully encourage feedback from you about this and more.
