Time & Labor Project Update – 10/23/24

From: John Acardo, CHRO

Colleagues, I am happy to provide this first campus update regarding the Time & Labor project to implement UKG Ready.

In July 2024, as part of our efforts to automate and streamline the timekeeping process, the university engaged a vendor, UKG, who is a leader in cloud-based, online timekeeping and leave management solutions.

Since July, HRS has been engaged in “discovery”. This is a period when we work with UKG employees to define the scope of our needs in their online platform.  During this time, NIU reviews our work group rules that define how payroll is calculated for the various collective bargaining agreements and employment groups.  NIU has over 40 different groups and rules that govern how payroll is calculated.  Currently, the process of calculating these rules is manual.

In the last week of October, NIU will exit the ‘discovery’ stage and enter the ‘build’ phase.  It is anticipated that the rules and engine that will drive our payroll process in the new environment will be completed before Thanksgiving.

In late November and early December, HRS will engage campus stakeholders and union groups to help validate the rules and help solicit feedback as we work to refine the system before launching.

I appreciate the patience of our campus community as we work to enhance our service offerings.
