As we know you all are busy wrapping up the fall semester and planning for spring, Human Resource Services (HRS) would like to send along a few important reminders on spring semester appointments.
- The campus to HR deadline for the first payroll in January is Monday, Dec. 16. All hiring and reappointment requests, including signed offer letters, onboarding completion, approved background checks, and additional pay requests must reach HR by this date to be processed on time for the first payroll of January. With the winter closure, the processing period is very short. Please send requests as you have them completed.
- Please submit the signed offer letter with your PeopleAdmin request and additional pay request. It is no longer necessary to wait for the “ok to offer” from HR on reappointments, FTE changes, or additional pay requests. Submitting these documents at the time of the initial request will make the process more efficient for all. Units must continue to wait for an “ok to offer” from HR for initial hires and rehires.
- With this change, units must utilize the offer letter templates in PeopleAdmin with the revised acceptance language to safeguard this process. The additional pay offer template on the HR website should also be utilized.
- Please note, for FTE changes that are a change to below 50%, the request must also include additional supporting documentation. In this case, please include the notification from the department to the employee on non-reappointment (presumption of rehire status) or notification from employee to department of their declining to teach.
- Any temporary instructors that are not being reappointed for the spring semester should have their position vacated in PeopleAdmin by Monday, Dec. 16. Please be sure to include supporting documentation for the vacate request (resignation/retirement letter, notification from the department to the employee on non-reappointment (presumption of rehire status) or notification from the employee to the department of their declining to teach, etc). Any break in service requires a termination and a rehire. There is a vacate guide for Faculty and SPS in the AAEO Help and Support SharePoint.
