Elect to Receive Your 2025 W-2 Electronically
The Payroll Office will process and mail calendar year 2025 W-2 forms by the IRS deadline of January 31, 2026. W-2s must be mailed to an employee’s home address unless the employee elects to receive the form electronically. Opting for electronic delivery provides convenient and secure access to your W-2 as soon as it is produced—without waiting for mail delivery.
Deadline to elect electronic delivery of your 2025 W-2: Monday, January 5, 2026
How to elect electronic delivery:
- Go to MyNIU.
- Click the MyNIU Human Resource System panel.
- Log in using Single Sign-on.
- Select the Payroll tile.
- Click W-2/W-2c Consent.
- Check the box next to “I consent to receive electronic W-2/W-2c forms.”
- Click Submit.
- Verify your identity by entering your password.
- You will receive on-screen confirmation. Paper forms will not be mailed.
If you have previously elected electronic-only W-2 delivery and have had no break in service in the last year, no further action is required.

Recruitment Posting Deadlines Around Holiday Closures
Human Resource Services (HRS) reminds campus departments to consider winter holiday closures when planning recruitment timelines. Because closures may impact search committee availability and the Talent Acquisition team’s assessment and referral processes, hiring officials should plan accordingly.
Important note regarding start dates:
From now until January 5, 2026, no start dates for new employees should be scheduled unless necessary and approved by the division lead.
Recommended posting considerations:
- Schedule application close dates at least two weeks before and one week after the New Year’s holiday closure.
- For postings created on or after December 12, 2025, HRS recommends closing dates after January 5, 2026.

Update Personal Information in MyNIU
Employees are reminded that the MyNIU system maintains personal information such as your name(s), addresses, contact details, emergency contact details, and voluntarily disclosed information on ethnic groups, disability, and veteran status(es). It’s important to keep this information up to date, so now is a great time to review and make any necessary updates.
How to update this information:
- Go to MyNIU.
- Click the MyNIU Human Resource System panel.
- Log in using Single Sign-on.
- Select the Personal Details tile.
