Updates to Timesheets, Benefits Usage Forms and Payroll Summaries

The Salaried Non-Exempt/Hourly Time Sheet and the Salaried Employee Benefit Usage Report have been updated to include the State of Illinois Paid Leave benefit as well as the Huskies Give Back program. Both files are now available in the Forms section of the HR website.  Employees should use the new forms for the March 16-31 Hourly Payroll (due April 1) and the March reporting period for Salaried (due April 16).  The new forms include updated instructions for employees. Please use this as an opportunity to ensure that the employee’s information (name, employee ID, position number, etc.) is correct on the forms being submitted. Information on the new forms will be included in the Monday Announcements on March 25.

Beginning March 28, the payroll summaries will include usage of the State of Illinois Paid Leave benefit and the Huskies Give Back program. The first day employees can report usage for the State of Illinois Paid Leave benefit is March 31. The Huskies Give Back program has been in place for years, but we will now be capturing that information on timesheets, benefit usage forms and summaries.

Employees who have access to paid leave benefits for the first time and do not currently complete the Salaried Employee Benefit Usage Report (graduate assistants and part-time faculty less than 50% FTE) will appear on your Salaried Payroll Summary for the March reporting cycle. These employees are only expected to complete a Salaried Employee Benefit Usage Report when they have usage to report. This is an exception that is being put into place until online time reporting is implemented. When the Salaried Payroll Summary is created on March 28, you will find these employees at the bottom of the summary denoted with an asterisk. This is to separate them from the group that you are expected to collect a Salaried Employee Benefit Usage Report from each month regardless of usage. Information on time reporting procedures will be shared with this employee population next week.
