Human Resource Services (HRS) is excited to announce two new enhancements to direct deposits. First, employees may now designate up to three banks accounts for direct deposit of their semi-monthly paychecks. Second, in the next few weeks, HRS will start sending regular notification emails whenever pay advices (stubs) are available in MyNIU. These emails will also provide a link to the HRS News Blog where important HR updates are posted and shared. More information on these changes is detailed below.
Multiple Direct Deposit Accounts
Employees who would like to designate more than one bank account for their direct deposit can do so in the MyNIU system by following the steps below:
- Go to MyNIU. (From the NIU homepage, go to Quick Links and select “MyNIU.”)
- Select the “MyNIU Human Resource System” panel.
- Sign in using Single Sign-On or by entering your NIU User ID (employee ID) and password.
- Select the “Payroll” tile.
- Choose “Direct Deposit” in the left navigation.
Additional detailed steps can be found in a job aid and instructional video on the HRS website.
- To make changes in time for the October 31, 2023, payroll, please update your direct deposit accounts no later than 4:00 p.m. on Friday, October 20, 2023.
- For future changes to your direct deposit accounts, please ensure they are made no less than five days before a pay period. Please note, that based on the holiday calendar, this date may increase to seven days before payroll. This is being noted as employees should be aware that, in some cases, it may take two payroll cycles to adjust to the changes.
Employee with NIU Credit Union Deductions
With multiple direct deposit accounts now available, HRS will stop sending NIU Credit Union deductions in the new year. Pay that is deposited on Dec. 29, will be the last pay period that is sent as a deduction.
- Employees wishing to continue to send money to the NIU Credit Union should designate that as a direct deposit.
- HRS will automatically stop deductions after Dec. 29, but employees will be responsible for designating their NIU Credit Union account as a direct deposit by following the steps outlined in the job aid and/or video on the HRS website.
- If employees would like to make this change before the end of the year, they should designate their account as a direct deposit and submit a Start-Stop Payroll Deduction form to payroll@niu.edu to stop their NIU Credit Union deduction.
Ongoing Direct Deposit Changes
- As part of the online onboarding process, new employees will be able to designate one direct deposit account for their initial paycheck.
- Once the employee has been entered into the HR system, they will be able to add additional direct deposit accounts through self-service in MyNIU.
- For the security of your banking information, HRS will no longer accept paper forms to update your direct deposit information.
Updates Received from Banks
If payroll is notified that a deposit cannot be made, the employee will be notified and directed to update their banking information through self-service in MyNIU. The funds will be held until the banking information is updated and the employee will need to notify payroll@niu.edu which bank should be used to resend the funds.
Reimbursements and Refunds Processed by NIU Accounts Payable Services
NIU Accounts Payable Services utilizes the banking information in the HR system to deposit reimbursements and refunds. All employee reimbursements and refunds processed by NIU Accounts Payable Services will be direct deposited into the employee’s account that is designated in the HR system as “Full Balance” when one account is listed and “Remaining Balance” when multiple accounts are listed. For example, if an employee has one account designated to receive $100 and another designated to receive the remaining balance, NIU Accounts Payable Services will utilize the account designated as remaining balance to direct deposit the reimbursement.
Pay Advice Confirmation Emails
As mentioned above, HRS will soon begin to send regular notification emails when pay advices (stubs) are available in MyNIU.
- These notifications will be sent from HumanResources@niu.edu, will use the usual HRS email template, and will provide instructions on how to view your pay advice.
- These notifications will also provide a link to the HRS News Blog where important HR updates are posted and shared.
- Please be advised that HRS will never ask you to update your banking information through these emails. This notification is simply to alert you that new information is available and that you can log into the secure HR system to view it.
