NIU Official Announcement Payroll Guidance from Executive Vice President and Provost Beth Ingram

Dear Unit and Department Leaders,

As previously communicated, we are sharing payroll guidance every two weeks.  This notification is to share information regarding the 5/1 to 5/15 hourly payroll and the 5/16 to 5/31 salaried payroll.

There is no change in guidance for this upcoming payroll cycle.  Please continue to follow the guidance communicated with the last payroll cycle.

Reminder of upcoming deadlines:

  • The link to the 4/1 to 4/30 Salaried Benefit Usage summaries was emailed on 4/29 and the summaries will be due by noon on 5/18.
  • The link to the 5/1 to 5/15 Hourly summaries will be emailed on 5/14 and the summaries will be due by noon on 5/18.

Reminder of the continued importance of record keeping of sick and vacation leave usage:

Please continue to do your best to collect the information on sick and vacation usage from your employees via email, scan or current timekeeping methods.  It is not necessary to print and collect signatures at this time.   HRS will not be collecting these records while employees are working remotely at this time. When we return to operations on campus, HRS will collect that information per normal procedures for recordkeeping purposes.

Reminder on Student employees working:

At this time, student employees should only be working if they were previously granted exception approval by the Provost.  Student employees should be paid for hours worked and they should not be working more than 20 hours per week.

Reminder on FMLA reporting:

Any FMLA time reported by employees on the hourly timesheets or salaried benefit usage forms should be indicated in the FMLA column on the summaries.
