Graduate Assistant Hiring Process Automation Update

As previously communicated, Human Resource Services (HRS) is automating the graduate assistant hiring process in PeopleAdmin for Fall 2025.

HRS will be partnering with the Graduate School to provide training on the updated hiring process as well as best practices in hiring graduate assistants.  Training sessions will be offered in April, with dates and times announced soon.

Important Form Updates

In preparation for this change, we’re sharing important updates regarding paperwork currently used for hiring graduate assistants.

Required Forms

These forms are available on the HRS website, and PDFs will need to be uploaded to PeopleAdmin for Fall 2025 appointments:

    • Graduate Assistantship Renewal Application and Graduate Assistant Application (content unchanged)
    • Graduate Assistant Offer Letter Templates (content revised and tuition waiver rates updated)

Discontinued Forms

These forms will not be used for Fall 2025 hiring and will be replaced by requests submitted electronically through PeopleAdmin:

    • Graduate Assistant Assignment Approval Form (GAAAF)
    • Graduate Assistant Employment Application Evaluation
    • Position Request Form (PRF)
    • Personnel Action Form (PAF) for Students and Graduate Assistants

Action Required 

Please have one representative from your department complete the spreadsheet linked below by Friday, April 4, identifying all staff involved in graduate assistant hiring for your unit.
